# Logging in to Q88, Q88 Dry, VMS, and Milbros

## Overview

Q88, Q88 Dry, VMS, and Milbros now use a new login system. When you visit the login page, you will be redirected to a new authentication screen. Your existing password has been carried over, and no action is needed unless you are unable to log in.

## Logging in for the first time

Navigate to your product as normal. You will be directed to the new login page. Enter your email address and password. If you have a saved password in your browser, you may be prompted to re-enter it as the login URL has changed.

## If you cannot log in

Use the **Forgot Password** option on the new login screen. A reset email will be sent to your registered email address from [no-reply@veson.com](mailto:no-reply@veson.com) with the subject Reset your password. Check your spam/junk folder if you do not receive it within a few minutes. Do not use the Forgot Password option on any older login screen you may have bookmarked. Multiple failed login attempts may lead to temporarily locking the account. If this occurs, please contact our support team for assistance.

## Shared or group email accounts

If your company uses SSO, each user must have their own unique work email address. Group or shared mailboxes are not compatible with SSO. If your team needs to be set up with individual accounts, please contact support, and we will assist.

## Adding new users

New users must first complete a self-registration before they can be added to your account:

1. Go to <https://www.q88.com/signup>

2. Complete registration using your individual work email

3. Contact support, and we will add you to your company's account

This tool provides quick access to abbreviations and definitions, so you don't need to memorize them.

## Accessing Abbreviations \& Definitions

1. In the sidebar menu, navigate to Tools → **Abbreviations \& Definitions**.

# Q88 Dry Adding a New Certificate/Document

The **Certificates \& Docs** module allows both Q88 office users and Q88 Onboard users, to be able to upload their own certificates, documents, diagrams, etc.

## Add a New Certificate

1. To add a new certificate into the system, navigate to the sidebar menu and click Vessels →**Certificates \& Docs**.

2. Select **New Certificate** to add a new certificate to the system.

3. A new page will be displayed where you can specify the vessel and name of the certificate you wish to add.

For **Q88 Onboard users** , you will only see the dedicated vessel when you want to create a new **Certificate \& Docs**. Please see the image below:

## Certificate/Document Fields

**Name**: As you type the certificate name, if the certificate is in the system, it will pre-populate.

**Type**: By default, the system will assign each certificate a Document Type. You can change the Document Type for each certificate and even add your own document types on the Settings page.

**Code**: This is an internal reference code that you can assign to each certificate.  
Please ensure the certificate or document you want to add is ++**NOT**++ listed in the system, as all the default listed certificates or documents are synced with other modules. If duplicate certificates or documents are added, information might not be updated correctly.

# Q88 Dry Advanced Search

In addition to [searching](https://help.veson.com/q88/q88-vessel-search.md) for vessels under your account, you may also perform advance vessel searches across the entire registry of vessels in the database.

1. Navigate to Search → **Vessel Search (Advanced)**:

2. A new window will open, where you can add the criteria and click **Search**.

**Note:** You can save the search by clicking on Save before selecting the **Search** button.

3. The results will appear in under the Search Results with several columns (up to 10), which can be edited by clicking on the **Edit Columns**:

4. The following window will appear to select the specific columns you want to appear in the search results.

a. To Remove a Column**:** Click the Xbuttonc.

b. To add a Column**:** Either select a checkbox under the **Select Common Fields** , click on the **Add button** , and click **Save**.

5. The data can be exported into an excel spreadsheet by clicking on **Export to Excel.**

# Q88 Dry AIS Vessel Tracking

## Access AIS Vessel Tracking

You can find the position of any registered vessel based on their AIS signal by navigating to Tools → **AIS Vessel Tracking** in the sidebar menu.

Depending on your subscription, you can either have a coastal and/or satellite signal. Enter the IMO number/name of the Vessel in the Search field → click the **Go**button → choose between Map or Satellite view.

The vessel's position and basic information -- such as Speed, Heading, Destination, ETA, and Draft -- will be displayed. If you would like to view the vessel's routing, click on the **Display last 30 days**link.

# Q88 Dry Archived Questionnaires

**Q88 Onboard Users:** Please note that you will only be able to view the vessels you have been granted access to.

The system keeps a copy of the archived questionnaires for 60 days, which can be found under the **Questionnaires** module.

You can search on the Archive Database either by the vessel's name, questionnaire or a user that completed it.

# Q88 Dry Blank Questionnaires

If you require a copy of any available questionnaires in the system, you can find it under Questionnaires →**Blank Questionnaires**.

The questionnaires are saved alphabetically and you can use the search bar/dropdown list to search for specific questionnaires:

# Q88 Dry Certificate Details

**Q88 Onboard users**: Please note that you will only have access to view the Documents for the vessel(s) you have been given access to.

## 1.1 Overview

The Certificate Details page shows you the following overview page for a selected vessel/certificate.

The **Document** dropdown listlocated at the upper-left corner of the page displays the name of the certificate you are currently editing. You can switch to any of the other certificates for the selected vessel using the dropdown list.

In the upper-right of the page, you can see when the certificate was last modified and by whom.

Under the **Document** dropdown list,the first panel displays the applicable dates for each certificate. The **Next (Due)** column displays a status for each date (if entered).

The status color will appear next to the title at the **Document**dropdown list and will show the following colors:

You can manually adjust the **window range** for each certificate due date.

1. Click the link in the **Window** column to set a new range.

2. Once you set the new range, the system will prompt you if you would like to save this change to all vessels that have this certificate.

3. Once the window range is set up, a weekly email alert notification will be sent to you as a reminder.

* **Example**: If the window range is set as 1 month under Expires criteria, an email notification will be sent every Friday a month prior to the indicated expiration date.

## 1.2 Other Information

Below the date panel, you will see the **Other Information** panel which includes additional ancillary fields applicable to this certificate:

## 1.3 Attachments

On the right side of the page is the **Attachments** panel, where you can upload multiple attachments for the certificate.

**Note** : The **Attachment** panel supports drag and drop function.

Under the **Publish** column, you can specify if a certificate should be set to Public or Private by clicking on the lock icon to change the settings.

* **Publish** - anyone from charterer, broker, or agent that has an account on the website will be able to download the document.

* **Private**- the document will only be available to those in your company and to those companies that have been granted access to the vessel.

## 1.4 Comments

Under the **Attachments** section, you will find the **Comments** section. Here you can enter comments about the certificate (for internal usage).

* Make changes to vessel certificates and attachments via XML submission, as opposed to performing time-consuming data entry.

* Overwrite files with new content and archive the previous file.

* Receive email notifications for submission activity, including both successful processing and failures.

# Q88 Dry Copying a Certificate/Document

In the **Certificate \& Docs** module, both Q88 and Q88 Onboard users can copy a certificate along with any attachments to another vessel/entire fleet. This feature is useful in situations where the certificate applies to multiple vessels or all the vessels in your fleet.

## How to Copy a Document

1. In **Certificates \& Docs** , select the relevant certificate from the list. Select the three-dot icon. You will find the **Copy Document** function under the Actions menu when you are viewing a particular certificate.

Once you click the **Copy Document** link, the following pop-up window will appear and you can select the vessels that you want to copy the certificate information to.

For Q88 Onboard users, the Fleet will automatically be selected as a Dedicated Vessel and you will only see the specific vessels in the list.

Select the vessels and click the **Save** button to perform the copy function.

# Q88 Dry Creating Package(s)

**Q88 Onboard Users:** Please note that you will only be able to create packages for the vessels you have been given access to.

Packages are groups of attachments that can be sent together, making it easier to avoid manually searching for and selecting each file. Additionally, they are especially useful when you need to provide the same set of documents for Charterers.

## Add Packages

1. Navigate to Vessels → **Certificates \& Docs**.

2. Go to the Actions menu → Select **Packages.**

2. Click**New Package**in the upper right of the page to add a package.

3. You will first need to name the Package → select if the package is for all users under the account or only your own username → then check off the attachments that you want in the package → click **Save**:

## Editing/Deleting Current Package

To edit a Package, select the Edit pencil icon next to a created package.

Make your changes → click the **Save** or **Delete**buttons:

## Emailing a Package

1. To email a Package, click on the Actions menu → **Email Documents.**

2. Select the Fleet and Vessel → select the attachment → click on the **Attach** button:

3. The Compose Email page will appear, click **+ Package** → select the fleet and vessel name → select the Package(s) → click on the **Attach** button.

# Q88 Dry Date Calculator

You can calculate the date and/or duration by navigating in sidebar menu to Tools → **Date Calculator**.

# Q88 Dry Deleting a Certificate/Document

For both Q88 users and Q88 Onboard users, any certificate can be deleted from the system. From the **Certificates \& Docs** page, you can click on the **Delete** button to delete the certificate.

After clicking on the **Delete**\* button, you will receive a confirmation prompt:

**Delete\***: When you delete a certificate for a vessel, it only removes the data and attachments for the selected vessel/certificate. The certificate itself will remain in the system in case you need to add it again later.

# Q88 Dry Distance Calculator

You can quickly calculate the distance between ports by navigating to Tools → **Distance Calculator** in the sidebar menu.

A new tab will open in your browser, allowing you to add data into the specific fields. Please note that all fields are editable. You can also add additional legs to calculate the distance and estimated time of arrival (ETA).

  * Anti-Piracy routing ...

  * ASL Compliance ...

  * Env/Nav/Reg Routing

# Q88 Dry DWT/Draft Calculator

## Accessing DWT/Draft Calculator

You can calculate the Dwt/Draft for all of your registered vessels on the Q88 platform from the sidebar menu under Tools → **DWT/Draft Calculator**.

**Q88 Onboard Users:** All Onboard users have access to this calculator. However, depending on your access level, you may only be able to select your dedicated vessel.

## How to Use the DWT/Draft Calculator

Once you are on this page, you will need to do the following:

1. Select the relevant fleet and vessel name. Click the **Show** link.

2. Under the **Specify Criteria**, select either Cargo or Draft. Enter MT of the cargo or height of the Draft.

3. Fill out the necessary information for both Vessel Details and Additional Information. Click the **Calculate** button.

4. The system will provide the relevant calculation at the bottom of the screen.

# Q88 Dry Email Offline Form

The Officer Matrix can be sent to the vessel for completion onboard. This is very useful if you have vessels that do not have broadband Internet access but you would like the vessel to manage the updates to the Officer Matrix.  
**Note:** **Q88 Onboard** **users** will only be able to email offline forms for the specific vessel they have access to.

## How to Email the Offline Forms

There are two ways to email the offline form:

1. You can email out the offline form via the edit Vessel option (pencil icon) from the Fleet Overview page.

2. From the Officer Matrix: Fleet Overview page, you can email the entire Fleet an offline form via the Actions menu →**Email Fleet Offline Form**.

**Note:** For Q88 Onboard Users, if you only have access rights to a dedicated vessel you will not be able to email an offline form to an entire fleet.

a. After clicking on **Email Vessel/Fleet Offline Form**, the Bulk Email will appear with the list of the vessels and email addresses → click on the Email button.

b. The system will then generate an email with the form attached containing instructions for the Master on how to complete the file.

b. The offline form will contain the instructions the vessel needs to follow in order to complete the Officer Matrix. The following image shows a part of the offline form.

c. The master can validate the data or be alerted if something is incorrect. The master can also generate a PDF file from the Excel file.  
**Notification:** You can set up notification when an offline form is imported. An email will be sent out every time a vessel submits an offline version of the Officer Matrix and is uploaded successfully to the Officer Matrix module on Q88.

# Q88 Dry Emailing Attachment(s)

You can email an individual or multiple attachments directly from the system.

## Individual Attachment

1. To make an individual attachment, you will need to select the checkbox near the certificate/document attachment you want to email → click on **Email** in the yellow toolbar.

2. This will create an email with the attachment.

## Multiple Attachments

1. For Q88 users, the list of vessels will appear under the Select Vessel field where the system will show you which attachments are available for that specific Vessel.

For Q88 Onboard users, you will only see the vessel you are dedicated to.

2. Select the attachment checkboxes and click the **Attach** button. If you need to add new files, you can click on the **Add New Document** button to add the attachment from your own computer.

3. Once you click the **Attach**button, an email will be generated with the files.

There is a 4MB limit of files that can be attached.

# Q88 Dry Fleet Report

The Fleet Report tool instantly generates vessel data tables that would otherwise take hours to create manually.

## Access the Fleet Report

Navigate to Vessels → **Fleet Report**in the sidebar menu.

## Fleet Report Page

On the Fleet Report Page, you can expand the dropdown list to select the report you have already saved.

## Adding a New View

After clicking on **Add New View**, you can set up the new view by doing the following:

1. Give a name to the new view you are adding.

2. Select who can see the new view (your company/user).

3. Select columns to be displayed either by typing in the field or choosing from the list.

   1. You can move them around and add colors.

4. Add the selected columns.

5. Specify criteria (i.e. Flag to be Greece).

6. Set the criteria pattern by using commas, parenthesis, and/or format.

7. Click **Save**.

After clicking on the Save button, you will return to the Fleet Report window.

## Actions in the Fleet Report Menu

* **Email Report:** The system will automatically attach the Fleet Report to an email.

* **Export to Excel:** The system will export the current list of certificate records into an Excel document and will be downloaded into your computer.

* **Scheduled Reports:** Schedule a report of any view (system or user-created) to be emailed to you.

You can add a new scheduled report by clicking **New Schedule** and then selecting the report from the list.

1. Add recipients (as many emails as needed).

2. Set the Fleet, Frequency (Daily/Weekly/Monthly), and time to send the scheduled report out → **Save**.

By setting up a Scheduled Report, the user will not need to create the same report on a regular basis as the system will collect the current data and will send the report as scheduled.

* **Refresh Data:** Refresh the underlying data from the database.

* **Reset View:** Resets the sorting and filtering for the selected View.

## Accessing Fleet Status

To view a summary of your vessels' status, navigate to Vessels → **Fleet Status** in the sidebar menu.

## Fleet Status Table

On the new window, a table with of your vessels will appear with the following columns.

* **Vessel Name**: Name of the vessel.

* **Gray Star:** Vessel is registered by your Company.

* **White Star:** Vessel with shared access.

* **HVPQ Version:** Last imported HVPQ.

  * **Note:** Use the HVPQ Import/Export tool to update your Fleet but please note that all vessels ***must***be under Version 6).

* **HVPQ:**The last date when you imported an HVPQ file into the Q88 Platform.

* **Missing:** Questions (not answered) within the Q88 form.

* **Due Certificates:** For the vessel, according to the Certificates and Documents module.

* **OCIMF OM**: Date of latest submission to OCIMF via the App.

* **Q88:**Yes/No field that indicates whether the Q88 form is published; the colors indicate how recently the vessel's Q88 form has been updated. Please refer to the legend at the bottom of the page for more information.

# Q88 Dry How to Create a Questionnaire

## How to Access the Questionnaire Module

1. From the Home Page, select **Questionnaires** on the sidebar menu → click **Create Questionnaire**.

## How to Create a Questionnaire

1. Once you are on the **Create Questionnaire** page, you will need to select the Fleet and the specific Vessel.

   1. **Vessel name:** selectthe dropdown for **vessel** and**load line** (if multiple).

   2. **Questionnaire:** select the **questionnaire** **type(s)** either by typing in the yellow text box or expanding the dropdown → then click on the **Create**button.

c. You can also search the database to find a questionnaire by clicking on the **Search** button**:**

3. Complete the questionnaire with the missing information or update an existing one.

2. The **Compose Email** window will appear, allowing you to edit the recipients, subject line, body of the text, and add files or packages as attachments.

## Additional Information:

* The address book will keep all used email addresses saved for future reference.

* More recipients can be added by using the semicolon ";" in between the email addresses.

* Attachments will be in either Word or PDF format and can be zipped to reduce their size.

* Signature comes by default from your User's Profile/Settings.

* Files that have been saved in the**Certificates and Documents** module can be added.

* Files can be added from your desktop.

* Packages can be added, as they are set in the **Certificates and Documents** module.

If you need to request from more than one vessel to complete a particular questionnaire, you can use the option **Bulk Offline Questionnaires**:

1. Navigate to Questionnaires → **Bulk Offline Questionnaires**.

## Operators Sending Offline Questionnaires

1. Once you have created a [questionnaire](https://help.veson.com/q88/q88-how-to-create-a-questionnaire.md), scroll to the bottom of the page → click on the **Click to Continue** button → select the **Send Offline (to vessel)**.

2. The **Compose Email** window appears.

* The vessel's email address will be added automatically as retrieved from the questionnaires and you can add more recipients if necessary.

* The Subject line can also be edited and you can attach more files by pressing **Add File** or**Add Package.**

* The HTML file will be automatically attached and ready to be shared with the vessel.

* A pre-filled message displaying the questionnaires will appear in the body of the email and can be edited as needed.

* Once reviewed, click on **Send Email**button.

## Vessels Updating and Sending Questionnaires

1. The vessel must open the attached file and complete the questionnaire. Once completed, click on the **Submit** button at the bottom of the page.

   1. If the Master needs to get a copy of the completed/submitted questionnaire in Word format, the *Click here and a copy of the completed questionnaire will be sent to you by return email*checkbox must be unchecked.

2. By clicking on the **Submit** button, the questionnaire will be transmitted into an encrypted text, which needs to be copied and sent via email to [download@q88.com](mailto:download@q88.com).

3. After 10-15 minutes, the server will receive the file and update the online platform with all of the included changes.

4. The user that initiated the process and any other user included in the ***Scheduled report: Create Questionnaire/Offline Questionnaire*** will receive a notification advising that the Questionnaire has been updated by the vessel along with a table to display all applied changes.

a. Same list of updated items can be viewed within the Questionnaire by selecting the ***Updated Offline*** view.

# Q88 Dry How to Use Vessel Compare Tool

To easily compare a specific questionnaire across multiple vessels (up to 10 at a time), follow these steps.

1. Navigate to Questionnaires → **Vessel Compare**.

A new window opens, where you must select which Questionnaire you wish to compare. You can select it from the dropdown list or start typing in the highlighted text box below.

3. You can select the vessels you wish to compare and is particularly effective for sister vessels. Please note that you can compare up to 10 vessels at a time.

a. If you select **Show All Questions**, the comparison will run for all questionnaire items. Otherwise, it will only run for those items with different values.

4. Click on the **Continue** button.

5. The results come partially, so you may need to move to the next page to review.

## How it Works

As you go through the list with the differences found between the vessel's completed questionnaires, you may notice that one answer is correct and it should be copied to the rest of the vessels. Mark the correct answer for that field and proceed.

* If none of the given answers is correct and you need to update all vessels, click on the circle under the **Other**column.

* A small window will open, select the correct answer and the new answer will be saved to all vessels.

* If all given answers are correct and applicable for the relevant vessels, then select the circle under the **Ignore** column.

Once all items on the displayed list have been reviewed, click on the **Save and Continue**button until you have gone through list.

## Exporting the List

You also have the option to **Export** the list onto an Excel spreadsheet to your desktop.

**Tip**: If you click on the circle next to the vessel's name on the top row, it will mark all answers of this particular vessel and every item will be saved to the rest of the vessels. This will be useful if you want to quickly complete a newly added sister vessel under the Fleet. Be reminded to select the existing/completed vessel and not a new vessel.

# Q88 Dry - Loadlines Module

Managing the Loadline information for your fleet can be a daunting task. If you, for example, have a fleet of 20 vessels then you could have up to 100 loadlines to keep track of.

## **1. Accessing the Loadlines Module**

Go to Vessels in the sidebar menu → **Loadlines**.

### **2. Loadline Fleet Overview Page**

The Loadline Fleet Overview page has been specifically designed to help you manage the Loadline for your fleet.

#### **2.1 Overview**

The is the Loadline Fleet Overview page.

If you have your vessels split into multiple fleets then the Fleets dropdown list will be displayed in the upper-left of the page. Selecting a fleet from the dropdown list refreshes the view for the vessels in the selected fleet.

The Actions menu contains the following options which can be performed from this page.

* **Refresh Data:** Refresh the underlying data from the database.

* **Reset View:** Resets the sorting and filtering for the selected View.

#### **2.2 Column Sorting**

The Loadline grid supports multi-column sorting. An arrow is displayed next to each column which has been sorted. To sort by a specific column, click the column header. To sort by multiple columns hold down the Shift key and select each column you wish to sort by.

If you want to reset the sorting and filtering back to the original settings then click **Reset View** under the 'Actions' button.

#### **2.3 Filtering the Data**

The Loadline grid supports column filtering. This is similar to the filtering available in Microsoft Excel® or SharePoint®. To filter the data, click the triangle in the header of the column you wish to filter on. A popup menu is displayed letting you select the items you wish to filter on. Click the 'Apply Filter' link to apply the filter on the selected items.

Once a filter has been applied the header for that column will turn grey.

If you want to reset the sorting and filtering back to the original settings then click the Clear filter option OR Reset View under the Actions menu.

#### **2.4 Paging**

By default, the Loadline grid will display 15 records per page. You can change that option in the lower-right corner of the page to 25, 50, 100 or 200 records per page. The paging buttons, shown at the bottom of the page, allow you to browse through the pages.

### **3. Loadline Detail Page**

#### **3.1 Overview**

The Loadline Detail page can be accessed by clicking the pencil icon in the right column OR double clicking on a row for any record in the Loadline Fleet Overview page.

### Loadline Header Field List

#### **3.2 Loadline Status Definitions**

| **Active**   | A loadline that is set to 'Active' will be the one which is used in the other modules on Q88 for the selected vessel. This includes: * Questionnaire Baltic99 * HVPQ * Creating Questionnaires * Fleet Report * Search Particulars |
| **Inactive** | An 'Inactive' loadline does not populate any other modules for the vessel on Q88 but an inactive loadline can be used when creating a questionnaire if it is needed due to a specific voyage requirement.                          |

#### **3.3 Editing a Loadline**

The Loadline Detail page can be accessed by clicking the Edit icon in the right column or double clicking on a row for any record in the Loadline Fleet Overview page.

#### **3.4 Adding a Loadline**

To add a Loadline for a vessel, click **New Load Line**.

A pop-up window is displayed where you can specify the vessel you want to add a loadline for.

Add the data in the fields provided and click the **Create** button.

1. All fields are required to be completed before you are allowed to Create except the field Description (optional). If any of the required fields is left blank, the yellow triangle with the exclamation mark will display.

2. If there is another active loadline already existing for the same vessel, you can select to "Copy certificate dates from active loadline?" by selecting Yes or No.

Once the required or all values have been added and Create is selected, and you will be directed to the Edit Loadline page where the rest of the details for the selected Loadline can be entered.

#### **3.5 Deleting a Loadline**

Click the Edit icon in the right column or double click on a row for any record in the Loadline Fleet Overview page.

The following window will pop-up. Click **Yes**to delete the loadline.

You will get a message that the loadline has been deleted.

#### **3.6 Changing the "Active" Loadline**

To change the active loadline for a vessel, edit the loadline for the vessel which you wish to make the active loadline.

When you select the Active radio button you will be prompted to confirm you wish to make the current "inactive" loadline the "active" loadline. Click **OK**.

You cannot deactivate an active loadline. You must select the inactive loadline you wish to make the active one.

### **4. Questionnaire Integration**

#### **4.1 Selecting a Loadline When Creating a Questionnaire**

When you select a vessel in the Create Questionnaire module which has one or more loadlines, the loadline dropdown list will display.

By default, the Active loadline will be automatically selected. If you wish to select another loadline to use for the questionnaire you need to create, then you can select it from the dropdown list.

#### **4.2 Populating Questionnaires Which Contain Loadline Information**

Many questionnaires ask for information regarding the vessels loadline. When creating questionnaires containing these questions, the system will automatically populate the answer with the data contained in the Loadline module. The questions will be highlighted with the "loadline" image to the right of the answer field.

This functionality is automatically enabled once the Loadline has been added to the system for the selected vessel. You will no longer be able to change the answers when you are creating a questionnaire, the answers must then be updated in the Loadline module.

The textboxes on the Create Questionnaire page are shown with a grey background indicating that the answers are read-only and any changes will not be saved. If you do make a change, then the questionnaire you are creating will contain the updated answers but the underlying data in the system will not.

If you have selected one of the other 'Inactive' loadlines then the Create Questionnaire page will show that you are creating the loadline for one of the re-measured/inactive loadlines.

### **5. Notifications**

#### **5.1 Overview**

There is an email notification that is generated by the system when records are changed in the Loadline module.

#### **5.2 Notification Types**

#### 5.3 Subscribing to Notifications

You can subscribe to the Loadline email notifications by going to Account → **Scheduled Reports** . Click **New Schedule** to add a report schedule. Select **Loadlines** as the module and choose a Report.

Add the Recipients email address(es), select the Fleet and Save.

To filter the Scheduled Reports column Module on Loadlines, type Loadlines in the search box.

# Q88 Dry - Main Certificates Page Overview

The main certificates page offers several features to help you manage the certificates for your fleet.

## **1.1 Overview**

The **Certificates \& Documents** page can be accessed from the **Vessels** tab → **Certificates \& Docs**:

The **Certificates \& Documents** page is the standard interface that is used across many of the modules and offers several key enhancements that allow better access to manage and view your certificates.

1. **All Fleets** filter: If you have your vessels split into multiple fleets, then the **All Fleets** dropdown list will be displayed on the upper-left part of the page. Select a fleet from the dropdown list to see the selected vessels.

2. **All Certificates** filter: Allows you to select from a predefined list, such as the **System Views** for your fleets' certificates. You also have the ability to create your own **Custom Views**.

3. **Certificate Expiry Day(s)**: You can see a quick overview of upcoming certificate expiry dates. Click on each of the date parameter to display the certificates that are due:

## 1.2 System Views

By default, the system provides several system views and you can choose from the following:

* **System Views:** Visible to all users in your company, with fixed default views created for all accounts.

* **All Certificates:** All certificates for your vessels.

* **Due Certificates:** All the certificates which are due.

* **Expired:** All the certificates which have expired.

* **Favorites:** Customize the list of certificates that are commonly used.

* **Missing:** List of all the certificates which are missing.

* **Valid:** List of all certificates which are not missing.

## **1.3 Creating Custom Views**

Additionally, the certificate module allows you to create your own custom views and there are two types of custom views that can be created:

1. **Company Views:** Visible to all users in your company that have a login under your account. (Only users with account admin permission will be able to create these views)

2. **User Views:** Only visible under an individual login.

To create a new view click the **Add New View**link to add a new Company or User view.

Once you are on the **Add New View**page, you can use the following filters to create the new view.

## 1.4 How to Add a New Certificate

## 1.5 Certificates with Attachments

For certificates with attached documents, the system will display a paperclip icon next to the vessel name which you can click to view the certificate. The tooltip shows if you if it's a private or published document.

## 1.6 Action Menu

The **Action** three-dot menu contains several options which can be performed from the **Certificate \& Documents** page. Please refer to the following image and descriptions below:

* **Export to Excel:** Exports the current list of certificate records to Excel.

* **Email Documents:** Allows you to select and send documents from Q88 by email.

* **Packages:** Allows you to create a group (package) of certificates and documents to email out together at once.

* **Summary Report:** Creates a summary report in (Excel) for all selected certificates.

* **Email Offline Form:** Sends offline form to the vessel for the Master to assist in updating the certificates/documents' date.

* **Scheduled Report:** Schedule a report of any view (system or user-created) to be emailed to you.

* **Settings:** Allows you to adjust the settings to the Certificates module.

* **Refresh Data:** Refresh the underlying data from the database.

* **Reset View:** Resets the sorting and filtering for the selected View.

* **User's Guide:** Download the User's Guide to the certificate module.

* **Columns:** Click to see a list of the available columns.

## 1.7 Criteria Columns Available for Filtering Records

* **Certificate/Document:** Name of the certificate.

* **Code:** Internal document code you can specify for each certificate.

* **Comments:** This field contains the remarks entered for a certificate.

* **Due:** Next due date for the certificate -- whether it is the next annual, intermediate, or expiration date -- whichever comes first.

* **Expires:** Date the certificate expires.

* **Has Attachment:** Filter certificates that have or does not have attachments.

* **Is Favorites:** Filter certificates that are under your favorite list.

* **Is Missing:** Filter certificates that are missing.

* **Issued:** Date the certificate was issued.

* **Issued/Certified By:** Company that issued or certified the certificate.

* **Last Annual:** The last annual renewal date of the certificate.

* **Last Intermediate:** The last intermediate renewal date of the certificate.

* **Next Annual:** The next annual renewal date of the certificate.

* **Next Intermediate:**The next intermediate renewal date of the certificate.

* **Reference:** The reference information for the certificate (Eg. "SOLAS 1974").

* **Reminder:** Filters certificates based on the reminder date you set. It will be the date on which the window alert commenced.

* **Type:** This is the Document Type field.

* **Vessel:** Filter the list of certificates that you want or do not want to see for certain vessels.

* **Window:** Filter the list of certificates showing specific window range.

## 1.8 Editing the Criteria Pattern

When building filters or queries in the Criteria Pattern Editor, understanding how logical operators like AND and OR work is essential. These two words define how multiple conditions are evaluated together which can change the greatly change the results.

### The AND Operator

In order for a record to be included, the AND operator requires that all conditions must be true.

* Eg. "I want the certificate type, 123, AND will expire in 2 months."

  * Criteria 1: Type is "123" certificate

  * Criteria 2: Expires after 2 months

Pattern:

    1 and 2 

### The OR Operator

The OR operator requires that at least one condition is true.

* Eg. "I want the certificate type, 123, or a certificate that will expire in 2 months."

  * Criteria 1: Type is "123" certificate

  * Criteria 2: Expires after 2 months

Pattern:

    1 or 2

After specifying the criteria to filter records, use the Criteria Pattern editor to modify how the criteria logic is handled by clicking on Edit Pattern and adding the following texts:

* **Parentheses/Round Brackets '(' and ')':** Group the criteria together.

* **AND Operator:** Use between two criteria where the records should match both criteria.

* **OR Operator:** Use between two criteria where the records should match one or both criteria.

* **Criteria Row Number:**#

**Note:**

* If the brackets do not match, it will display an error.

* The number of criteria entered must match the numbers given in the criteria pattern editor.

* If any of the criteria numbers are missing in the Criteria Pattern editor, then an error will display.

The following is a list of example criteria that can be entered:

* 1 and 2

* 1 or 2

* (1 and 2) or (3 and 4)

## **1.9 Column Selection**

The **Certificate \& Docs** grid supports custom column selections. If you navigate to the Action menu on the right right of the page → click on **Columns** → a list of available columns will appear.

Once the Column is added for the selected view, it will remain on the grid until it is removed and each view will have its own set of columns that each user can customize.  
Note: The **Export to Excel** function will export the columns that have been selected in the current View.

## **2.0 Column Ordering**

Each view (System Views, Company Views, or User Views) will have its own order of columns that is customizable. You can drag and drop the columns to change the order on the grid and it will automatically refresh the grid with the new column ordering set.

## **2.1 Column Resizing**

You can easily customize the column sizing by placing the cursor between the two columns and dragging the column left to right automatically adjust the size:

Each view will have its own column ordering and is customizable.

## **2.2 Column Sorting**

The grid supports multi-column sorting where a downward arrow is displayed next to each column that has been sorted.

* To sort by a specific column, click on the column header.

* To sort by multiple columns → hold down the Shift key → click each column you wish to sort by.

## **2.3 Filtering the Data**

Similar to the filtering available on Microsoft Excel® or SharePoint®, the grid supports column filtering.

To filter the data, click the grey triangle in the column header you wish to filter. A popup menu will be displayed, letting you select the items you wish to filter. Then, click the Apply Filter link to filter the selected items.

Once a filter has been applied, the filter icon is displayed in the column header and a dark-grey bar is shown across the top of the grid, indicating which column has been filtered on (shown in the following image).

## **2.4 Paging**

By default, the grid will display 15 records per page. However, you can change this option by navigating to the lower-right of the page and select either 25, 50, 100, or 200 records per page.

On the bottom right side of the page, you can browse through the pages by clicking on the arrows.

## **2.5 Certificate Settings**

The **Certificate/Documents Settings** page allows you to adjust the settings for each certificate. You can find the link to the **Settings** page under the **Actions** menu.

The Settings feature is accessible only for account admin users.  
**Note:** For **Q88 Onboard users**, you will not have access to the Settings feature.

When you click on **Settings**, you can adjust the settings for each certificate. The fields that can be customized are as follows:

* **Not Used:** Checking this box will hide the certificate for your entire fleet (unless you have already entered the data for a vessel). This is useful if you want to hide a certificate that does not apply to your fleet.

* **Type:** By default, the system will assign each certificate a **Document Type** ; you can change the **Document Type** for each certificate and even add your own type.

* **Code**: This is an internal reference code that you can assign to each certificate.

* **In offline form:** Customize the list of certificates to be shown in the offline form.

When you have made the necessary changes, please be sure to click the **Save** button at the bottom of the form.

# Q88 Dry Manage Fleets

## Access the Manage Fleets module

All users can add Fleets, regardless of their permission. However, the Account Admins and Vessel Admins are the only ones that can add/edit Fleets for all users.

1. To access the module, you can click Account → **Manage Fleets** in the sidebar menu.

From there, you can view/edit the existing Fleets.

## Edit Existing Fleet(s)

Select the edit icon to make the relevant changes.

## Add New Fleet(s)

To add a new fleet, select the**New Fleet** icon.

Once you're on the Fleet/Vessels page, complete the following:

1. Give a name to the new Fleet.

2. Select whether this should be visible to you or your company's users.

3. Click the vessels you wish to include.

4. Click **Save**.

## Accessing Manage Vessels

You can view/edit the Manage Vessels page by navigating to the Account → **Manage Vessels**.

A table with all registered vessels under your account is displayed.

* Columns (**Name,** **IMO** , **Type,** and **Fleet**): You can see the vessel's Name, the IMO number, Type, and Fleet that you have assigned the vessels.

* **Publish** column: The Publish column displays the documents that are available to all Q88 users for read-only and download.

* **Companies with Access** columns: Depending on your access right, this column will show which Companies has access to each vessel.

* **Star**: The star icon indicates the company the vessel is registered under.

* **Small Squares**: The small squares besides the IMO number indicates how recent the Q88 form was updated.

  * 🟩 : The last 30 days.

  * 🟨 : The last 2 months.

  * 🟥 : The last 3 months or more.

* **Edit icon** : Depending on your access rights you can click on the **Edit icon**to navigate to the Vessel's tab for further actions.

**Q88 Onboard Users:** This will depend on the access level provided to you but typically user admins who has access to all modules will have access to the **Manage Users** option. For help with access, kindly get in touch with you IT administrator.

## Actions on the Vessel Tab

### Edit Vessel

* Use the relevant fields to amend the specs.

### Fleet

* Assign the vessel to any available Fleet.

### Publish Documents/Questionnaire Information

* You can select which modules or documents are published for this vessel by ticking off the relevant box to apply the Publish settings to the entire fleet.

* Click on the Import HVPQ button to import the HVPQ6 file.

### Companies with access

* You can add/edit/delete the Companies with Access to this vessel.

* Click on the Delete button to request the deletion of the vessel from your account.

  1. For any changes you have made, do not forget to click the Save button.

## Add a New Vessel

To add a new vessel to your account, click the **Add New Vessel** link.

You will be redirected to a blank vessel tab.

Once completed, click the **Save** button.

## Request Access to Another Vessel

To Request Accessto another vessel, click the **Request Access** button.

From the new window, you can either Request access or review the pending requests from third parties.

You can Request Access for another vessel(s) by typing the vessel's names or the IMO numbers in the dialog box → click the **Submit**button.

## Review Pending Requests

Select **Pending Requests** to review them.

From the next page, you can approve or decline the requests.

## Manage Your Fleets

To manage your Fleets, click the **Manage Fleet** link shown in the following image:

## Request for Vessel Deletion

There are three different ways you can request a deletion of a vessel:

### 1. Delete it from your end

To delete a vessel yourself, navigate to Account → **Manage Vessels**.

* This will open the list of your vessels. In the list, find the vessel you would like to delete and click the edit icon to open the vessel.

Once you are on the specific vessel's tab, do the following:

1. Please enter a note such as *"* Approval given to transfer to the new owners*"* in the **Admin Comments** section as this will enable the support team to work more efficiently by removing the need to request additional approval from you, should the new owners request the vessel transfer. If approval is still required, you may instead enter a comment such as *"* Please request approval before transferring to the new owners*."*

2. Once done, click the **Delete** button and the system will generate an automatic message in our inbox.

### 2. Creating a VSD Ticket in Jira

Submit a ticket via <https://vesonjira.atlassian.net/servicedesk/customer/portal/24>. In the ticket, provide the following information:

1. Vessel Name

2. IMO number

3. Provide us with the name of the new owner (if any).

   * If the new owner is not known at this time, please provide your approval to proceed with the transfer should we receive a request from the future owner to have the vessel transferred.

Additionally, please ensure that the officers (if any) have been signed off on the vessel's entry.

### 3. Reach Out to the Support Team via Fin

Please follow the steps below:

1. In the sidebar menu, select the **Live Support** icon.

2. Select **Ask a question**.

You can delete, email, archive and add multiple attachments to the system.

## Attaching New Document(s):

1. Navigate to Vessels → **Certificates \& Docs** → click on the edit icon.

2. Select the **Attach File**button → select the document from your Desktop.

2. You will then see the following message highlighted in yellow, confirming that you have reviewed and verified the dates associated with the new document.

You can continue to add multiple attachments by clicking the **Attach File** button. (see [**Replace/Archive**](https://help.veson.com/q88/q88-managing-attachments.md#Replace/Archive-Attachments))

## Deleting an Attachment

1. Select the checkbox next to the Attachment(s) that you want to delete.

2. A yellow toolbar will appear above the Attachments list.

3. Select the **Delete** button.

4. The system will prompt you for your confirmation.

## Replace/Archive Attachments

If you would like to keep your attachments for future use or reference without deleting them, you can archive the old attachment and replacer it with the current one.

* To access the Archive section, click the checkbox next to the new attachment and select **View Archive**.

* The Certificate Attachment Archive window will appear where you have the option to **Download** , **Email** , and **Restore** the current attachment.

**Options for Updating the Officer Matrix:**

There are three different options for keeping the Officer Matrix information updated for your fleet.

* **Option #1 - Online:**You can use the website to keep the Officer Matrix data up to date.

* **Option #2 - Offline:** The offline Officer Matrix form allows the vessel to retain the updated information onboard.

* **Option #3 - Integration:** If you are using a crew management application to keep track of the Officer Matrix information, then it is possible to integrate the application with the Officer Matrix module.

## Q88 Onboard Users

For Q88 Onboard users, you will only be able to view the dedicated vessel.

## Accessing the Mooring Diagram Tool

There is a drawing tool to create Mooring Diagrams for your vessels in the sidebar menu under **Vessels** → **Mooring Diagram**.

## Select a Diagram Type

1. In the new window that opens, select the **fleet** , specific**vessel** , and whether to use a **Vessel Diagram** or **Bow Diagram** → click the **Show** button.

2. Design the diagram with the available icons to reflect the vessel's mooring plan. Select an icon, drag it to the vessel's drawing, and click **Save**.

## Email Functions

# Q88 Dry Officer Management

## Overview

The **Officer Management** page gives you access to all the officers that have been entered into the Officer Matrix for your whole fleet. You can access this from the Officer Matrix module by clicking the Actions menu → selecting **Manage Officers**.

This will allow you to view all of the officers currently onboard a vessel and also all of the officers that have ever been onboard your vessel(s).

The View dropdown has 4 options:

1. **All Officers**: List of all the officers.

2. **Officers Onboard**: Officers signed on a vessel.

3. **Officers Ashore:** Officers not signed on a vessel.

4. **Possible Duplicates:** List of officers who may have been entered as duplicates in the system.

Use the search box to find keywords across all columns in the current view.

## Adding Officers

From the Officers page, you can add an officer to the system by selecting **New Officer.**  
**Note:** When adding officers, you can enter their current experience such as the date the officer last signed off of a vessel. The **As of Today** column with then only accrue their 'Years with Operator' experience.

## Deleting Officers

Deleting an officer is not possible while the Officer is onboard a vessel.

* If they are currently **Ashore** (i.e., not signed on a vessel), then the delete button is visible on the **Manage Officers**page.

**Note:** If you need to delete an Officer who is currently onboard a vessel, then you will need to sign the Officer off the vessel from the Officer Matrix detail page before deleting them from the **Manage Officers** page.

## Merging Possible Duplicate Officers

Select the **Possible Duplicates** view to see if there are any duplicate officers in the system.

The duplication normally occurs if vessels submit their Officer Matrix information using the offline form.

As Officers perform tours on different vessels, their personal information may be entered differently on the Offline form each time. To address this, the **Merge Officers** feature was created.

The **Possible Duplicates** view will list all of the officers with the same **Last Name** or the same **Identification #**.

Once you select the **Possible Duplicates** view, a checkbox list is displayed to the left of the first column.  
**Note:** You can merge up to 5 duplicate officers simultaneously.

Once the duplicate officers have been selected, click the **Continue** button to open the Duplicate Officers: Merge page. From there, you can choose which Officer record to keep when merging them into a single entry.

To view the matrix compliance for your vessel, click the link next to the Compliant label .

From the Officer Matrix: Fleet Overview page → click on the word **Partial** for a specific vessel.

A list of the matrix compliance status for the oil companies you have selected to include in the analysis will appear. Small, colorful squares, referred to as the status lights, will appear on the left side of the oil companies. The following is the description of the status lights:

**NOTE:** \*The vessel has multiple officers in the same rank and not all of them meet the minimum requirements. It's uncertain as to whether or not the vessel will be considered compliant. Please contact the vetting company directly to ask for clarification.

To view the details for a specific oil company, click on the oil company name in the pop-up. The popup displays the compliance details for the selected oil company.

If one or more of the Officers are missing the required information, the submission to OCIMF will be incomplete and the system will display the Missing Data icon next to the Matrix Value.

**Officer Matrix Requirement:** Displays the vetting requirements for the selected oil company.

**Req. Value:**Displays the requirement for the selected oil company.

**Matrix Value:**Displays the value for the selected Vessels' Officer Matrix.

## Matrix Compliance Settings

From the Compliance window, you can choose the oil companies which you wish to track for matrix compliance by clicking on the **Edit Settings**.

A pop-up window appears, where the system will analyze the vessel's Officer Matrix based on the selected oil companies and you will have the option to transfer the settings to other vessels in the fleet.

# Q88 Dry Officer Matrix Questionnaire Integration

## Populating Questionnaires Containing Officer Matrix Information

Many questionnaires ask for details regarding the Officers onboard the vessel. When creating questionnaires containing the details of the Officers, the system automatically populates the answer with the data contained in the Officer Matrix.

Selecting the imported information icon opens the Officer Matrix in a pop-up window, so you can review the Officer Matrix while completing the questionnaire. The textboxes on the **Create Questionnaire** page have a grey background indicating that the answers are read-only and any changes will not be saved. If you do make a change, then the questionnaire you are creating will contain the updated answers.  
**Note:** The above functionality is automatically enabled once the Officer Matrix has been added to the system for the selected vessel. **You will no longer be able to change the answers when you are creating a questionnaire. Therefore, the answers must then be updated in the Officer Matrix module.**  
**Q88 Onboard Users:** Please note that you will only be able to view the vessels you have been granted access to.

## Questionnaires that Reference the Officer Matrix

If the questionnaire asks a question referring to the Officer Matrix, then the Officer Matrix link displays next to the question. Once you click this link, a pop-up window appears so you can review the Officer Matrix while completing the questionnaire.

# Q88 Dry Officer Matrix Scheduled Reports/Notifications

Scheduled Reports are generated by the system when records are changed in the Officer Matrix module.

## Offline Officer Matrix Imported

An email is sent each time a vessel submits an offline version of the Officer Matrix, and it is uploaded successfully to the Officer Matrix module on Q88. This notification is sent immediately.

If you have granted another company access to your vessel and they have the rights to access the Officer Matrix module for your vessel, they are entitled to subscribe to the notifications.

## Compliance

If you have configured the system to track the compliance for certain companies, the system will send an email to let you know if there has been a change to the vessel's Officer Matrix compliance.  
**Note:**This notification is sent daily at 12:01 GMT.

## OM Changes Onboard Daily

If you are signed up for our Q88 Onboard subscription, changes made by the master will be sent via a report.  
**Note:** This notification will also be sent daily at 12:01 GMT.

## Company/User View Reports

If you have created any company views or user views and would like to schedule them to be sent, you can do so at the Scheduled Report level. These are emailed at the frequency set by the user.

# Q88 Dry Officer Matrix Webservice/Integration

If you are using a crew management system to complete the OCIMF Officer Matrix, it is possible to integrate the application with the Officer Matrix module on Q88 Dry. We support a few different options for integrating your crew management system with Q88 Dry.

* **Email integration:** This integration gives you the ability to automatically email a copy of the Officer Matrix (in xml format) from your crew management system imported into Q88 Dry. A return email will be sent to you informing you of the status of the import.

* **Web services integration:** We support xml web services which gives you the ability to integrate your crew management system directly with the Officer Matrix module on Q88 Dry.

# Q88 Dry Offline Forms

If you need the Master to assist in updating the certificate date, you can do so by sending the Offline forms to them by clicking on the Actions Menu → **Email Offline Form**.

The Bulk offline form can be sent to all vessels in your fleet or you can also choose a specific vessel you wish to send the form to. Once you have selected the vessel(s), click the **Email** button to proceed.

The system will compose an Email template with the attachment of the selected Offline form and the instructions for updating it.

* **Note:**Certificates/documents offline form will be in Microsoft Excel format.

The Offline forms will expire one month after being sent to the vessel, and the expiry date is indicated on each form.

## **Customize Offline Form**

1. If you have an administrator role, you will have the ability to customize the list of certificates/documents according to your requirement by selecting the Actions Menu → **Settings**.

2. Choose which certificates or documents to include in the Offline form by selecting the checkbox under the In Offline Form column.

3. Once the Master updates the dates, they will have to save the Offline form → attach it to an Email → send it to [download@q88.com](mailto:download@q88.com). Once the Offline form is imported, the date of the certificate will be updated in your Q88 account accordingly.

## Email Notifications

To receive an email notification alert when the offline questionnaire is submitted, you can click the Actions Menu and select **Scheduled Reports**.

Click **New Schedule** on the report page.

Select the form, and create the report schedule by selecting **Okay.**

# Q88 Dry Planning Officer Matrix

The **Planned Officers** tab gives you the ability to create a planning scenario for your vessel.

This is useful when you need to generate the Officer Matrix document for a future date and the officers onboard at that time does not match the ones that are onboard today. As previously mentioned, charterers normally request a copy of the Officer Matrix basis the date of the intended voyage which may be weeks or even months from today.

Using this planning tab allows you to create this planning matrix without affecting the current matrix as it stands today. The other benefit of the **Planned Officers** feature is so that you can test different possible combinations of officers to see how they would comply with the oil company requirements.

When you click the Planning tab for the first time, the following page will be displayed.

If you wish to import the Officer's that are currently onboard, then click the **Click Here** link shown in the image below. This will copy the current Officers into the planning matrix.  
**Note:** Any changes you make to an Officer in the planning matrix will have **NO** effect on the information stored for the Officer on the **Officers Onboard** tab.

Another way to think of it: the **Planned Officer** tab is a temporary workspace where you can try out different crew setups before committing to them.

If you want to clear out the planning matrix, navigate to the Actions menu → click the **Clear Planning Matrix** link.

If you want to sign an officer onto the **Officers Onboard**, click on the person next to the officer.

# Q88 Dry Printing/Emailing the Officer Matrix

The Officer Matrix can be extracted from the system in a few different ways.

From the Officer Matrix: Fleet Overview page → click on the edit icon for a specific vessel → click the Action menu and one of the following:

* **View Officer Matrix:** To download a PDF copy of the document.

* **Email Officer Matrix:**To email the PDF document directly from the website.

When either of these two options are selected, you will be prompted to enter the date of the intended voyage.

The intended date defaults to today's date, and the officers' years of experience and months on board will be calculated as of today.

If you wish to have the Officer Matrix PDF report calculate the officer's experience basis a future date, then you can enter a different date and the officers' years of experience; the months onboard will be calculated based on the future date entered.  
**Note:** Charterers may request a copy of the vessel Officer Matrix basis the intended start date of the voyage. When the PDF document is created, you can see their experience and months tour basis the intended date entered.

## Q88 Onboard Users

For our Q88 Dry Onboard users, please note that depending on your level of access right you will only be able to select **View Officer Matrix** and **Email Officer Matrix**for the dedicated vessel.

# Q88 Dry Publishing the Officer Matrix

**Q88 Onboard Users:** Please note that only Account Administrators for the company listing the vessel will have permission to change this setting.

You can publish the Officer Matrix for your vessels by clicking on the **No** link located in the upper right of your screen.

This can also be done by an Admin at the Manage Vessels level.

Publishing the Officer Matrix will make it available for other users of the Q88 website to download. The published document will not contain personal information about the officers, and can be downloaded via PDF from the Officer Matrix module.
