Veslink - Forms & Form Groups

Veslink standardizes voyage communications to help you collect and analyze current positions and other critical voyage data and share information with a network of trusted partners.


To open the list of forms, on the Forms and Vessels tab, click Forms on the left side.

You can view all forms with their Version Number, or view Form Groups and see the forms included in them and the vessels associated with them.

To import forms:

  1. On the Forms page, click

    .

  2. Click Choose File and select the Zip file of forms to import.

  3. Click 

    . The page shows the forms that will be updated.

  4. To change which values the new forms overwrite, click Show Overwriting BehaviorThe uploaded forms overwrite the existing ones.

  5. Select any values that you do not want to overwrite, and clear any values that you want to overwrite.

  6. Click OK.

You can export forms from Veslink to your computer.

  1. On the Forms page, click

    .

  2. Add forms to be exported:

    • : Add all forms to the list.

    • : Add a selected form to the list of forms to export.

    • : Remove a selected form from the list of forms to be exported.

    • : Remove all forms from the list.

  3. Click 

    .

  4. Select the location on your computer where you want the forms saved and click Save. The forms are saved as RDL, VFML, and XML files inside a Zip folder.

Veson Nautical periodically releases new versions of Veslink standard forms. To update your standard forms to the latest version:

  1. On the Forms page, click 

    . If there are new versions available, they appear:

  2. Click 

    .

To add a Form Group:

  1. On the Forms page, click 

    .

  2. Type a Name for the form group.

  3. Select Options. These control the behavior of form submissions by vessels associated with the form group.

    • You can hover over underlined fields to see their definitions.

    • Default Upcoming Ports Control GMT Offset to Report Date/Time selection: The GMT offset selected for Date/Time automatically populates in the upcoming ports grid, but users can change the GMT offset for any ports in the grid.

    • Allow Upcoming Ports to Change Forward Ports in IMOS

    • Hide Distance and Speed Columns for Upcoming Ports

  4. To customize the forms in this group (optional), click 

     to expand a section.

  5. Under Included Forms, select forms from the Available Forms list to add to the new form group.

  6. Under Vessel Assignments, select vessels from the Available Vessels list to assign to the form group.

  7. To save the new group, click 

    .

From the Form Group tab you can also:

  • Delete the Form Group: Click 

     on its tab.

  • Copy the Form Group to create a new, identical one:

    .

  • Download the forms in this Form Group for a vessel: 

    .

To send forms to vessels:

  1. Click 

    .

  2. To send the forms to the vessel email address, select the Send to Vessel Email check box. 

    • To send to additional recipients, select the Use Additional Recipients check box and type additional email addresses in the field.

    • To change or add a Vessel Email for a vessel, on its IMOS Vessel Contacts tab, add or amend the vessel's email address and save. The new email address should be visible in Veslink a few seconds after a refresh of the page.

  3. Select the check boxes for the vessels you want to send the forms to.

    • To filter vessels, begin typing in the Filter field.

    • To select all vessels, select the check box at the top of the list; you can then clear check boxes for individual vessels.

  4. Click Continue.


    Information for the selected vessels appears. If you want to change something, click Back.

  5. When all is correct, click Send Forms.

  6. If the Vessel is unable to access the forms, ensure that the forms are updated and attempt to open the forms using Chrome.


  • Check your Spam / Junk Folder

  • Check the quarantined email messages (For Microsoft office)

  • Check if there are some email phishing of firewall blocking the forms@veslink.com
