IMOS - Berth Schedule

Requires the Berth Scheduling module. You must have the Berth Schedule Module Right selected, under Quick Links in Operations.

The Berth Schedule enables you to see, at a glance, the current berth location and cargo handling operation of your active voyages. It also enables you to plan the berth rotations of your fleet.

To access this workspace, do one of the following:

  • On the main menu 

    , under Operations, click Berth Schedule.

  • In the Operations quick links, click 

    .

  • In the Voyage Manager, right-click an Itinerary line and then click Berth Schedule.

Applying Filters

To view bookings in the Berth Schedule, you must apply filters:

  1. In the workspace panel bar on the right, click the Filters panel button.

  2. Select a From/To Date (arrival to departure) and a Port. Depending on your schedule timescale, date range restrictions apply:

    • Week: 120 days or fewer

    • Day: 31 days or fewer

    • Hour: 7 days or fewer

  3. Optionally, you can filter the schedule by Berth/s associated with the Port, cargo Company/ies, or Vessel/s.

  4. Historical Dates are Disabled by default, but you can change the filter to act on unactualized port activities with dates up to 5, 10, 15, 20, 25, or 30 days in the past.

  5. Click Apply Changes.

The Berth Schedule populates and automatically scrolls to where voyages are allocated to the berth.

Once the Berth Schedule is populated, you can do any of the following:

Navigating the Berth Schedule

Cargo Bookings and VC In Bookings appear in Confirmed Bookings (top) and Unallocated Bookings (bottom) schedules.

Each row displays the ETA at the port, Notice of Readiness (NOR) date and time, port Function, and demurrage rate (Dem. Rate).

Color-coding for these schedules is defined in the legend in the bottom left corner.

Confirmed Bookings

The Confirmed Bookings schedule contains one row per Berth Name.

  • When BL Quantity is available, it appears in the schedule; otherwise, the CP Quantity appears.

  • When you expand a berth row, linked voyages are shown.

    • When there are multiple voyages of the same vessel, they appear on separate rows.

  • When you expand a voyage row, linked cargoes are shown.

Unallocated Bookings

The Unallocated Bookings schedule contains one row per Vessel Name.

  • When you expand a vessel row, linked cargoes are shown.

  • When you click a vessel or cargo bar, the Berth Management form appears.

Adjusting Your View

To adjust your view:

  • As with any other schedule, you can filter data, sort and resize columns, set the timescale, and zoom in or out.
  • Click and drag the divider line between Confirmed Bookings and Unallocated Bookings.

  • Click arrows on the left to expand or collapse a row.

  • To scroll to today, click the Current Date button in the top right corner:

Viewing Hover Details

Hover over a bar in the schedule to view more information about a voyage, vessel, or cargo. If barges are filled out in the Bill of Lading (BL) Info tab of a voyage, they will also be visible when you hover over a bar in the schedule.

When you select “Tentatively Allocated” as a reason for blocking off a berth in the Berth Schedule workspace, any notes you enter will be displayed on the Gantt chart as well as in the hover help.

Opening Linked Forms

To access additional information about a vessel, cargo, or voyage, right-click its bar and then click one of the following:

Allocating Bookings

To allocate an Unallocated Booking, drag it into the desired berth on the Confirmed Bookings schedule.

To update an estimated Confirmed Booking, you can:

  • Click and drag the voyage bar:

    • To an earlier or later time in the schedule

    • Into a different berth

    • Off of the schedule to unallocate it

  • Click and drag a cargo bar:

    • From either end, to increase or decrease the duration

    • To an earlier or later time in the schedule

These actions update all other operational areas in the system, such as the voyage, without the need for duplicate data entry.

Estimating Port Activities

Port Activity times are initially estimated based on values in Berth Management. Berth Mgmt Activity Details Rules can be used to set default values based on various conditions. When you enter estimated times in Berth Management, they will remain as estimated, even after you've entered an actualized time in Port Activities.

To adjust activity times for an estimated Confirmed Booking, you can:

  • Click and drag an activity bar from either end, to increase or decrease the duration:

  • To add wait time, right-click an activity bar and then click Add wait time to this activity. 1 hour of wait time is added before the activity; you can adjust wait time by dragging its bar.

  • To remove wait time, right-click a wait time bar and then click Remove wait time for this activity.

You must save the Berth Schedule to preserve your changes.

Add block of time to Berth Schedule for servicing/maintenance

To take a berth off the schedule for servicing/maintenance, do the following:

  1. In the the Berth Scheduling calendar, click a date/time to create a block in the calendar. By default, a one-hour block will be created, starting from the date/time clicked.

  2. Once the block has been created, click the block to edit the length of the block, the default reason (Planned Maintenance, Berth Unavailable, Tentatively Scheduled), and add Notes.

  • You can edit the length of the time block by clicking on the right-most border and dragging the border out to the ending date/time of your choice.

  • To remove the time block, right-click the block and select Remove Blockage.

Live Schedule Updates

If booking activities requiring action are not completed before the current date, their Berth Schedule bars automatically move forward to the current date. Activity end dates and ETD update accordingly.

Actualizing Port Activities

To actualize port activities from the Berth Schedule, open and then enter actual activity times on the Port Activities form.

To open Port Activities, either:

  • Click a voyage bar.

  • Right-click a cargo or activity bar and then click Port Activities.

When you save the Port Activities form, any changes feed directly back into the voyage as well as into Laytime Calculation.

Once you’ve actualized port activities, you will no longer be able to edit estimated times in Berth Management. Berth Management will act as a historic record, and you can compare estimated and actualized times by building a custom report in our reporting workspace.
