IMOS - Forms

The Veson IMOS Platform is the market-leading cloud solution for commercial marine freight and fleet management.

Note: Requires Voyage Reporting.

In the Forms workspace, you can manage submitted and draft forms from vessels and agents.

You can also access forms in the Voyage Manager and Port Calls.

Forms List

The Forms list contains all standard and custom forms that you have the right to view. To access it:

  • On the main menu

    , under Operations, click Forms.

  • In Operations quick links, click

  • As with any other list, you can search, select, adjust, pin, filter, group, and sort columns, reset to the default view, save user views, and export.

  • To view the current list view on the map, click

at the top right. To return to the list, click

The Effective (GMT) column displays the Form Date/Time. Operators can use it as a guide to the sequence for approving incoming forms.

Each form includes a Status:

  • Pending: Forms that require approval.

  • Pending with Errors: Forms that have errors that need to be corrected before they can be approved.

  • Approved: The form was approved, and its data was validated and imported.

  • Processing: The approved or resubmitted form is being validated.

  • Submitted: The form is not yet approved, or it was approved but there were approval errors.

  • Error: The form was submitted with an error.

  • Open for Resubmit: The form was previously approved and opened for resubmit, but the resubmit attempt resulted in new errors that need to be corrected.

  • Rejected: The form was rejected.

To open:

  • A PDF of a submitted form, click the PDF link.

  • A form to work with, click its row or form Form Title link.

  • A text box showing the reason for the error, click the Status link.

To approve or reject forms, select the checkboxes of one or more forms, then click the Approve or Reject hyperlink.

If a user is unable to view, approve, or reject a form, ensure they have the correct Module Rights for the specified actions defined under the Veslink Module section in the Data Center.

Rejecting a previously approved form

To reject a previously approved form, open a form with the status “approved” or “open for resubmit,” and then select Reject. You will be asked to provide a reason for the rejection. Once you’ve filled that out, you can select Confirm to submit your rejection.

Rejecting a form will not reverse the changes to the Voyage data in IMOS. You will have to manually update the voyage to reverse any changes that were automatically made when the form was approved.

Exporting Veslink Voyage Reporting forms

To export Veslink Voyage Reporting forms, select the checkboxes for the forms on the list you wish to download. Then, select the Download button.
