IMOS - Creating a New User

The information on this page is for Veson IMOS Platform (IMOS) Administrators only.

To create a new user:

  1. On the Security List, click + and then click New User. The User panel appears on the right, with the Profile tab active.

    Existing or old user accounts cannot be replaced by new user accounts for auditing and security purposes. When a new user is required to replace the existing one, create the new user and inactivate the existing or old one.

  2. Under User Details, enter the following information:

    • User Name: Up to 128 characters.
    • Full Name: The user's full name.
    • Initials: The user's initials.
    • Email: The user's email address.

      The Security Administrator may change a user's Email address by accessing, changing, and then saving it in the user's profile.

    • Phone No: The user's telephone number.

    • Select any of the following options:
      • Read-Only: Make this a Read-only user.
      • Inactive: Inactivate this user.
      • Security Admin: Make this user a Security Administrator.

        Regardless of group membership, Security Admin configuration will be necessary if the user requires the ability to add/remove and make changes to other users in the Security List. 

      • External Access Only:* Prohibit this user from logging in.

      • Authentication Only:* Disable all user rights to the current Veson IMOS Platform site. If you have multiple sites (for example, test and production), you can select or clear this check box per site.
      *These user types do not count against your Veson IMOS Platform license limit.
  3. Authentication is for IMOSlive users only.
  4. Under Group Membership, to add the user to a group or remove the user from a group, select the group's check box.

     = The user is not a member of the group.
     = The user is a member of the group.

    We recommend that you do not assign the Administrator to any groups, but assign all rights individually. As a member of a group, the Administrator might be denied rights if the group has any rights actively denied.

  5. Under Veslink API, you can request or clear a user's API Token. The API requires separate licensing.

  6. To assign user rights to modules and objects, and/or to adjust user rights inherited from groups, click the Access Rights tab.

    A user's rights include the individual user rights plus the rights from any groups to which the user belongs (see About Groups, Users, & Rights.

    1. Under Module Rights, you can assign module rights by module, by area within a module, or by item within an area. 

      • To assign the same rights for the whole module, click the module's check box. To change to a different right, click again. Each time you click, the right changes.
      • To expand the list of areas in a module, click
        .
        • To assign the same rights for the whole area, click the area's check box. To change to a different right, click again. Each time you click, the right changes.
        • To expand the list of items in an area, click
          .
      • To collapse a list, click
        .
    2. Under Object Rights, you can assign object rights by object type or by individual object.

      • To assign the same rights for all objects of an object type, click the object type's check box. To change to a different right, click again. Each time you click, the right changes.
      • To expand the list of objects of an object type, click
        .
        • To assign rights for an object, click its check box. To change to a different right, click again. Each time you click, the right changes.
      • To collapse a list, click
        .
  7. When you finish creating the user, click Save.

    NOTE: Sometimes new users created in the Veson IMOS Platform do not sync with veslink.com. If this occurs and the user is unable to log in, the client's security administrator should reach out to Veson Support to assist with creating the new user on the veslink.com side. 

    If you receive an unknown error while trying to save a new user, make sure that you have not exceeded your IMOS user license limit.

Invoice Approvals by Type

On the Post Invoices List and Transaction Summary, if a user does not have posting rights for an invoice type, the Post link will not be available for those invoices.

Invoice Actualization by Type

Specifies whether the control of invoice actualization by type is enabled or not; adds an Invoice Actualization Types control list to the Object Rights tab in Security, to grant users rights to set specific types of invoices to Actual.

Invoice Reversals by Type

Specifies whether the control of invoice reversal by type is enabled or not. When enabled, on the Object Rights tab in Security, an Invoice Reversal Types control list is added to grant users rights to reverse specific types of invoices.
